GiftTool instructions for hosts
GiftTool is an on-line registration management tool where participants can both register and pay with ease while allowing hosts access to registration information 24/7. It makes the registration process simpler, less time consuming, and less prone to errors and missing information.
Below is a list of steps to assist you in using GiftTool to its fullest.
Logging in:
1. Go to your location’s webpage and click on the “register now” link
2. Click on the “admin” link in the upper right corner of the GiftTool page
3. Enter the user name and password assigned to you by BC Sailing.
You have now accessed the “back office” of the GiftTool application.
Access/edit individual student information:
1. Click the “Registrants” button in the “back office”
2. Select your event name from the drop down menu
3. To see information on a particular student, click the “profile” link next to the corresponding student name
4. Click “expand profile” to see all the information entered by the student. The information may be edited as well. If you make a change, ensure you save the profile changes by clicking “save profile” button.
View number of registrants and generate reports, such as a class list:
1. Click the “Reports” button in the “back office”
2. Select your event name from the drop down menu
3. For a quick view of the number of students registered, click the printer icon next to “event statistics”
4. To generate a printable report of registered students (your class list), click the Microsoft Excel icon next to “Registration Options Details”. Note that only names, and contact information is listed here. You will need Excel in order to view this.
5. To generate a report of registered students displaying all the information entered including medical information and emergency contacts, click the Microsoft Excel icon next to “Total Orders”. Please note that some of the headers at the top of the columns are misnamed, but all the information is still there.
